Venue Coordinator vs. Wedding Coordinator:
Many venues have a 'venue coordinator'. In my experience they are great and very helpful but their loyalty lies with the venue and they have boundaries. They may have to spend more time dealing with the venue logistics — other events, catering issues — than with what you want and need the day of your wedding.
On the other hand, a wedding coordinator has no boundaries. In other words, I work directly for you so my main focus is you and your wedding! By arranging and organizing all the vendors, I help make your day run smoothly and manage all of the details. I will also be there to help with the rehearsal so you feel a little more comfortable.
Prior Services:
Create master timeline of wedding day events (bridesmaids, groomsmen, family, vendors)
Review of seating plan and room set up
Review wedding processional
Coordinate rehearsal (2 hours max)
Day of Coordinator Tasks:
Coordination of site set up and break down
Point person for all vendors
Supervise and instruct vendors when they arrive
Ie. Cake here, flowers there
Ensure that décor and arrangement of ceremony and reception site is perfected according to Bride and Groom’s standards
Set up guest book, cake cutting materials, gift table
Arrange place cards
Finalize centerpieces and tables (number, etc.)
Approves overall venue and ceremony site
Arrange wedding party
Cue and direct wedding processional
Distribute bridal party flowers and boutonnieres
Instruct and direct ushers
Line up wedding party for reception
Cue music for intros and dances
Cue speeches
Collect things from the reception you’d like to keep (bouquets, gifts, etc.)
Troubleshoot and handle behind-the-scene situations
If a vendor has a issue they come to me instead of interrupting you and your family
Distribute final payments and tips
Brings emergency kit for Bride (hair spray, Kleenex, blush, bobby pins, etc.)
